Getting started with Scalebit takes about 60 seconds. You connect your POS system, we pull in your sales and labor data, and your first daily P&L is ready within minutes. No phone calls, no onboarding meetings, no waiting weeks.
Here's exactly how to connect each supported POS.
Connecting Square
Square uses OAuth, which means you authorize Scalebit with one click — no API keys, no passwords to share.
Steps:
- Sign up at scalebit.app and create your account
- Click "Connect Square" on the onboarding screen. You'll be redirected to Square's authorization page.
- Approve read-only access. Square will ask you to confirm that Scalebit can read your sales, catalog, and labor data. Click "Allow." You're done.
Scalebit requests read-only access. We never modify your Square data, process payments, or access your bank information. You can revoke access anytime from your Square Dashboard under Apps > Authorized Applications.
What syncs: Orders, line items, discounts, refunds, catalog (menu items), labor shifts, and employee hours.
Connecting Toast
Toast also uses OAuth for a secure, one-click connection.
Steps:
- Sign up at scalebit.app and create your account
- Click "Connect Toast" on the onboarding screen. You'll be redirected to Toast's partner authorization page.
- Approve the connection. Toast will show which permissions Scalebit is requesting. Confirm, and the connection is live.
Like Square, this is read-only. Scalebit pulls your orders, menu, revenue centers, and labor data. We cannot modify menus, process orders, or access payment details.
What syncs: Orders, menu items, revenue centers, labor entries, and time entries for labor cost calculation.
Connecting Clover
Clover uses OAuth as well, making the connection fast and secure.
Steps:
- Sign up at scalebit.app and create your account
- Click "Connect Clover" on the onboarding screen. You'll be taken to Clover's app authorization page.
- Install and approve. Clover may ask you to "install" the Scalebit app for your merchant account. Approve the read permissions, and you're connected.
Scalebit accesses your orders, inventory, and employee shift data in read-only mode. You can uninstall the app at any time from the Clover App Market or your Clover Dashboard.
What syncs: Orders, line items, inventory quantities, employee shifts, and payment summaries.
Connecting WooCommerce
WooCommerce is ideal for meal prep delivery businesses and restaurants that sell online. The connection uses API keys or OAuth, depending on your setup.
Option A: API Key Method (Recommended)
- Sign up at scalebit.app and create your account
- In your WooCommerce admin, go to WooCommerce > Settings > Advanced > REST API. Click "Add Key."
- Create a key with "Read" permissions. Give it a description like "Scalebit Integration." Click "Generate API Key." Copy the Consumer Key and Consumer Secret.
- Paste both keys into Scalebit's WooCommerce connection form. Enter your store URL and click "Connect."
Option B: OAuth Auto-Connect
If your WooCommerce store supports OAuth (most do), you can skip the API key step. Just click "Connect WooCommerce" in Scalebit, enter your store URL, and approve the connection from your WooCommerce admin.
Scalebit only requests read access to your orders, products, and refund data. We never modify products, process orders, or access customer payment information.
What syncs: Orders, products, line items, refunds, and order metadata for revenue calculation.
What Happens After You Connect
Once your POS is connected, Scalebit starts syncing immediately:
- Historical data: We pull in recent order history (typically 30–90 days) so you have context from day one
- Daily sync: New data syncs automatically each day. You don't need to do anything.
- First P&L: Your daily P&L dashboard populates within minutes of connection. You'll see revenue, labor cost (if your POS tracks it), and a baseline profit view.
- Invoice scanning: To complete your food cost picture, snap photos of vendor invoices from your phone. Scalebit's AI extracts the line items and updates your COGS automatically.
Security and Privacy
All POS connections use industry-standard OAuth or encrypted API keys. Your data is encrypted in transit (TLS 1.3) and at rest (AES-256). Scalebit never stores payment card data, and you can disconnect your POS at any time with one click from your settings page.
If you run into any issues during setup, reach out to our support team — we typically respond within a few hours and can walk you through the connection over email.
